Pan Atlantic Foundation is a not for profit that specializes in creating high-quality high school exchange programs for non-US citizens in the US. Our staff are professional who each has a decade or more in the field of international exchange.  Our Staff are educators, administrators, parents, former host parents who have international experience and a love for a program that truly changes lives.  We are united in our mission to make the world a better place for all people through educational and cultural exchange.

Position: Program Operations Coordinator
Location: Portland, Maine/Hybrid Remote (3 days office/2 days remote)
Description:  The Program Operations Coordinator Secondary School Program Operations role supports the team in all operational areas relative to a successful J1 Visa exchange program.  As a member of a small team, this person would be engaged as valued member of a growing organization and provided the opportunity to be involved in strategic planning and problem solving.  The ideal candidate is solution driven, ready to build relationships, and work in a way that is mindful of others and upholds the spirit our mission.  Must have strong written and verbal communication skills for internal and external correspondence between various teams.  Must also have a working knowledge of Microsoft office (excel), Google Docs/Sheets, CRM, and general computer proficiency. ​

Primary Responsibilities 
Ensure compliance with U.S. Department of State and CSIET regulations, working closely with Senior Director of Secondary High School Operations in all tasks related to student applicants, host family applicants and student and agent support. 
DATA MANAGEMENT AND COMPLIANCE
  • Assist in the review of student applications including grade review, language assessment, and tracking of student documents required for application completion. (Responsible for F1 application review).
  • Assist in the data entry for the creation and distribution of DS-2019 forms per U.S. Department of State regulations, as well as monitoring and updating required SEVIS changes for the duration of the program including early terminations, extensions, and student moves/placement changes.
  • Add DS-2019 numbers to CRM database.
  • Generate, deliver, and track invoices for program fees.
  • Responsible for initial data entry for student insurance. 
  • Responsible for sending flight emails for departures and arrivals to HF/AR/RD and confirm airport pickup for ICO and NYC Orientation.  Track missing flights for ICO’s. 
  • Responsible for sending welcome emails to host families for placements.   
  • Responsible for the creation of student placement notifications in Sugar CRM for all placement changes. Send email to partner and HF and student for placement changes. 
  • Assist in data entry for creation of new placement notifications.
  • Responsible for the transition of student applications from Conditional to Accepted status.  This includes corresponding with overseas agents regarding student applications and the ongoing intake of missing student documents. 
  • Work with placement coordinator to track area representative renewals. 
  • Responsible for the maintenance of public/private high school database in Sugar CRM/Formsite.
STUDENT OVERSIGHT AND SUPPORT
  • Responsible for the weekly review and flagging of supervision reports.
  • Responsible for weekly communication to agents with new supervision reports.
  • Create bi-monthly supervision payments in Sugar CRM.  
  • Assist in processing insurance claim denials and co-pays.
  • Responsible for the creation of good standing letters for approved student travel.
 
GENERAL
  • Assist with the maintenance of website content.  
  • Monitor email to ensure expedient responses to all parties. 
  • Attend at least one week of student arrival orientation in NYC in Aug/Jan as a student chaperone.
  • Attend annual international conference (5-7 days, usually in the Fall)
  • Other duties as assigned.
 
This role may require late evenings and weekend work at various times throughout the year. Some international and domestic travel will also be required.

Requirements: 
• Related experience in operations preferred 
• Ability to work and support team members  
• Excellent administrative and organization skills with ability to effectively multitask; strong attention to detail 
• Ability to take initiative and maintain flexibility   
• Computer skills including MS Word, Excel and Outlook and CRM management are required. 
• Bachelor’s degree from four-year college or university required 
• International work or study abroad experience a plus
