PROGRAM END

Program End   Scenarios

There are multiple ways a student can reach their program end.  As an account manager, you are responsible for making sure your students end their program correctly.   Laura Maxon is responsible for  Early Voluntary Withdrawal and Program Dismissal but it is your responsiblity  to ensure all  steps are followed. 

Normal Program End

  1.  No need to update SEVIS, program will end in accordance with pre-planned SEVIS dates.
  2. No need to update  insurance, we will send final student departure dates in bulk  each month of normal departure (May, June, July) 
  3. Update   Sugar  
  • ​Change student program status to “Inactive"
  • Change placement to “Normal Program End".
  • Change program end dates to date student departed. (If we don’t do this it will show the supervision reports as missing)
  • Ensure we have student departure flight uploaded (see ITN  report) .     Since agents are uploading these to the flight upload, they do not need to be uploaded individually to Sugar but we should make sure the departure date and uploaded "YES" fields are still updated in the flight tab on the placement. 

Early Voluntary Withdrawal 

  1. Send voluntary program withdrawal form to the agent to be completed.
  2.  Update SEVIS with date student returned home.  
  3. End student in insurance.
  4. Update   Sugar  
  • ​Change student program status to “Withdrawn”
  • Change placement to “Early Return Voluntary Withdrawal”.
  • Change program end dates to date student departed. (If we don’t do this it will show the supervision reports as missing)
  • Ensure we have student departure flight uploaded to placement documents and update Departure Date and Departure Flight uploaded in the flight information ta

Program Dismissal 

  1. Student receives dismissal letter from  Support .
  2.  Update SEVIS with date student returned home.  
  3. End student in insurance.
  4.  Update   Sugar  
  • ​Change student program status to “Withdrawn”
  • Change placement to “Early Return Student Dismissal”.
  • Change program end dates to date student departed. (If we don’t do this it will show the supervision reports as missing)
  • Ensure we have student departure flight uploaded to placement documents and update Departure Date and Departure Flight uploaded in the flight information ta

Signing off program for Natural Parent Travel 

  1. Send End of Program  Release    Form to agent or  this link. 
  2. Since student is with natural parents after the 14 day program end they are allowed to use the upper limit of their grace period which is 30 days, but they must depart  the country within 30 days of the last day of school.  The last day of school  and the end date in SEVIS should match.  Please make sure the agent knows the final date the student must leave the country in the same email where you send the sign off form.  
  3. If student needs insurance extension, the fee is $100.   If they do not purchase additional insurance for days 15+, their insurance will end as of the 15th day post the last day of school.  (In case of unforeseeable error in this situation, we have 30 days to  adjust insurance end date.)
  4. Update   Sugar  --DO NOT DO THIS UNTIL THEY LEAVE THE COUNTRY.  (LAURA CHECK WITH ALLISON GOLD---ARE WE STILL RESPONSIBLE FOR SUPERVISION IF THEY ARE TRAVELING WITH NATURAL PARENTS IF PROGRAM DATE IS OVER?   
  • ​Change student program status to “Inactive” as of  date  
  • Change placement to “Normal Program End”.
  • Change program end dates to date student departed. (If we don’t do this it will show the supervision reports as missing)
  • Ensure we have student departure flight uploaded to placement documents and update Departure Date and Departure Flight uploaded in the flight information tab     (we need this for the audit --- ASK ALLISON ---if SEVIS shows departed do we really need this?).   

Program End Documentation Steps Template 

Example when a student departs anything other than "Normal Program End". Email this to  all relevant parties.

Field stating Domestic Departure Flight uploaded is marked YES: YES
